How do I log into the back end administrator?

If you lost the username and password, you can contact us directly and we will retrieve it for you or perhaps another member of your board may have it.

What is the proper way to enter in a date in a date field?

Next to every date field is a calendar icon that once pressed, pops up a calendar where you can point and click on the day you need to specify. This will automatically enter in the date in the proper format for the field.

How do I refund a registration that has already been charged?

Refunds to a credit card must be performed in the online gateway interface (ie. Authorize.net). Here you will need the transaction ID, Date or person's name and last 4 digits of the credit card. If you are unsure of this information, it can be searched for in the reports section in Authorize.net. Then it is advisable to go into StarChapter and delete the transaction that you are crediting.

How do I upload an image I want to go with a new meeting?

These images are called Meeting Icons and can be uploaded in the back end administration area under meeting info. This first screen allows you to upload a new meeting icon graphic.

How do I insert an image into the newsletter or a manual mailing?

The WYSIWYG editor used for the newsletter and email center mailings has an icon that looks like this: . Click on this and follow the pop up instructions.

How come I don't see the WYSIWYG editor?

The editor does not currently work on the Apple MAC. You will be able to get a basic text area field if you use the FireFox browser.
Will my chapter or organization outgrow StarChapter?

No. StarChapter is constantly evolving and improving its list of features. One of StarChapter's greatest advantages is that we listen to the needs of our users and when they submit a request we incorporate it into our next improvement.

Is my chapter or organization right for StarChapter?

How much does StarChapter cost?

We like to ask the same question. How much does it cost for your chapter to run StarChapter. First we like to find out what your current payments are like and then offer a comparison. How can I get help in convincing my board to vote for StarChapter?

We know that group decisions can take a while. So we have put together some documentation that can be presented to board members. It is important to do your home work, but you don't have to spend hours online investigating every possibility. We can show you and the board exactly why it makes sense to become a StarChapter. We already have a website; can we still use StarChapter and keep our website look and feel?

Yes. StarChapter can be integrated into almost any web design, but keep in mind that we do offer web design as part of our package and there is always room for improvement. We look forward to making your chapter a StarChapter.

The page isn't the full screen (looks like a smaller "frame". Seems like wasted space. Is this the "standard" or do we have an option for a full screen?

This is a standard used in web design. In order to control the layout and position of content on the screen, we fix the width of the design. It is optimized for an 800x600 screen resolution. With widescreen laptops and larger monitors, it will center itself on the page and, yes, leave a bit of space to the left and right.

Are we limited to two colors? Is the color scheme chosen applied the same way to all pages (i.e., can we have different scheme on different pages)

No limit on colors. Our graphic designers will work with any color scheme you want.

How will we keep our member roster current with our national database?

StarChapter has an import feature that will be customized to any file sent or exported from the national database.

We offer different food choices to our meeting registrants. Can we offer and keep track of that?

Yes. When you set up your monthly meetings, you can specify the food choice options and run a report on what people selected prior to the meeting.

What if we are not ready for credit cards? Does StarChapter require that we have that set up?

No. You can use the meeting registration system and give people the option of paying at the door. But the option for online payment for registration can always be added in when your chapter is ready for it.

Do we have to have our member roster online and available for everyone to see?

No. Your chapter members can either 'opt' out of the public directory, or you can choose to pull the entire directory into a private members only section, or pull the directory completely out of the website. It is your choice how you want to display your chapter member roster online.

Is there a limit on the overall size of the site? We have a sizable number of presentations kept in an archive that we'd like to keep online.

The site is designed to grow with time as you accumulate info on meetings, members, presentations, photo galleries, etc. There is no limit to this growth over time.

Generally, your sites seem to have the same (or similar) six tabs. Is there opportunity for more? As you may have seen with our DAMAChicago site we had many more, and while we probably don't need them all we will still need more than 6.

Yes, in our "discover" session we will define the navigation (tabs) structure that is appropriate for your organization.

Do you support migration of all our current content from our existing site?

Yes, we will migrate your existing content and data and integrate into the new website for you.

The Wedding Professionals site has a different look to it. Was that a custom job that cost extra?

Your set up fee includes the service of custom design if you require a completely new look, but keep in mind that certain structural things will be common with other StarChapter sites.

How many e-mail accounts are supported?

The account comes standard with ten POP3 accounts. If your organization needs more we will add more at no additional cost.

Is the difference between option 1 and 2 on the Pricing really just the term of the deal - option 2 is a better long term (4 yr+) deal?

Our option 2 was actually our option 1 when StarChapter was originally launched. It covers all of the labor going into putting together your website. Going forward, it does not include all of the free updates that option 1 would include and certain changes would be extra if your chapter needed them. Option 1, with the lower upfront and slightly higher monthly, actually works out better for your chapter long term because of the benefits to the chapter. You'll have peace of mind and StarChapter is able to service your needs short term and long.

I took a look at the ClearVision website. Would multimedia support be available to StarChapter sites? We're considering recording the presentations that occur at our quarterly meetings and posting them on the site in lieu of the Powerpoint slides.

Yes you will be able to attach or upload media files to meetings and presentations, so they will be viewable in the detail view and auto-archived for easy reference.

FOLLOW-UP ITEMS:

Membership
Can we extend the information that we store about members (i.e. add additional columns for fields such as Member Since Date, Last Inv Date, Renewal Date, etc.)?

Yes. We customize your member data file to your needs.

We need to be able to support Corporate & Patron Membership structure. This should include 1 primary member with 4 additional sub-members.

We can support this structure as long as you have the current information organized for us in some spreadsheet.

Can we review how Paper Invoicing for Renewals is supported?

Email invoicing is done on demand for meeting registrants that do not show. Membership invoicing is not supported at this point. This will be an added feature in our next release.

Newsletter
Is a Mail/List Server being used? We need to ensure that out-bound e-mails don't get tagged as SPAM.

Your mail will be sent using our mail server. It is difficult to guarantee that it will not be tagged as SPAM, but overall we have had good results from other organizations. It always comes from the same email address, so people can "white list" it very easily.

Can we have Content in the Newsletter that is automatically inserted based on our current templates (e.g. Current Patron List, Next Meeting Details, etc.)?

Yes.

How are out-bound e-mail rejects (i.e. invalid member e-mail address) tracked?

Out-bound rejects are not currently tracked. We do have the ability to track and clean lists. This will not be rolled out until version 3.0.

Do you support Opt-out option for out-bound e-mailing (member has do-not e-mail flag for New letters)?

Yes.

Are there any restriction on disk space and bandwidth usage?

There are no restrictions.

What is your Disaster Recovery Plan? Where is the data backed up?

Our servers are located off premise in a 'server farm' that is professionally managed 24/7 and has all the necessary back up power and infrastructure to limit the possibility of down time. All server data is backed up nightly. In the event of a disaster your site could be up and running within 24 hours.

How is the underlying Chapter Data stored - Database or Flat Files?

MySQL database.

Can we get a periodic backup of the Site Content and underlying Chapter Data (member data, meetings, newsletters, job postings, etc.)?

Yes.

If we decide to terminate the contract, what exactly do we get as far as the Site Content and underlying data goes?

You will have access to your data and website design. All of the StarChapter™ functionality will be removed from the site.

If you are bought-out or your business folds, how do we guarantee that we will have rights and access to our chapters Site Content and underlying Chapter Data.

You have the rights and ownership of all of your content, data and web graphics.
