Jane- you spoke about hiring someone technical to run your meetings so that you can focus on content. Can you tell me more about what this person does for you?

Sure! We use GoToWebinar for our meeting presentations. There are a lot of controls to operate during the meeting, so she meets everyone who will be on the webinar, checks their sound, goes over the time frame, puts up the poll questions at the designated times, and switches the screens for some of our presenters who may have some difficulty managing that while giving a presentation. She has become a true professional in making us look good!

Logan- Can you expound on your two tips--something about the number in the title and two commas with a hashtag. I don't understand what this means.

In Zoom it looks like the below as one click dialing. We put that in the location area for meeting invites. Example: 13462487799,,3230217888#

Thank you Sue! I know many people are scrambling to figure out how to do things virtually. My advice is to take it one step at a time and be able to laugh when it doesn't go as planned!

Do you find having more panelists makes for a more dynamic presentation? How many panelists is too many?

We typically try not to have more than four panelists and one moderator. It tends to eat up the time a little too quickly if we have more than that and at times can miss out on the depth.

The next NAPO Virtual Chapter meeting will have 5 panelists as each one runs their business in a different way. We have collected questions from members for the last two weeks and then compiled them into a presentation. Our panelists will have a chance to prepare their answers ahead of time and give the best information possible. Anymore than 5 panelists would probably be too many!

Great question Lisa ... right now, as we make the transition to different platforms and as both hosts and presenters get more comfortable with the process, I'd say less is more. The technical challenges of getting everyone ready to go are real and I think a single presenter can be very impactful and make sure your webinar goes off without a hitch. That's my personal opinion!

Were you contemplating making some of these changes we have all been forced to make, prior to the COVID-19 crisis? Will you continue these efforts if life returns to normal?

We have been offering webinars here and there for our clients, but nothing to this level. Those that had been thinking about offering them, but did not previously are testing the waters now and getting a good response from their membership.

Our particular organizations were discussing adding a virtual component to in-person meetings... but not in an urgent way. More as a value-add because they really enjoy the connection and networking that comes from an in-person event. While I do think that organizations will still want to have that human contact when they can, I believe we'll see a lot more virtual options in the new normal. The time and expense to get up to speed on the programs, especially for large events, means you might as well use it.

NAPO Virtual Chapter had to actually scramble a little and come up with a meeting topic as our general conference was recently cancelled. Our Virtual efforts will continue as usual and we are thankful that we are already doing this at this time!
